Microsoft Copilot can now help directly within Excel and Microsoft 365: editing workbooks, building formulas, tables, charts and PivotTables, and using agentic capabilities for longer processes. But “Copilot” covers several experiences, licenses and preview features. Before promising automation to a department, identify which Copilot is available, in which application and language, and with which permissions.
The right goal is not to let AI “manage Excel,” but to let it perform defined work while finance professionals retain the ability to edit, trace and review it.
Who is this guide for?
Teams working mainly in Microsoft 365 that want to explore:
- Cleaning and organizing Excel files.
- Building formulas, tables and PivotTables.
- Budget-versus-actual analysis.
- Creating a financial model or template.
- Standardization using Skills and rules.
- Preparing documents and presentations from Microsoft 365 sources.
- Preliminary contract review in Word.
What can Copilot do inside Excel?
Microsoft has renamed “Agent Mode in Excel” to Editing with Copilot in Excel. When editing is enabled, Copilot can work alongside the user and modify the workbook using Excel's own capabilities, so formulas, tables and charts remain editable.
Examples include:
- Creating a variance table by department and period.
- Adding a formula with an explanation.
- Building a PivotTable and chart.
- Cleaning empty rows and standardizing dates.
- Creating an amortization schedule or basic model.
- Preparing a close report using dummy data.
Output still needs review. A syntactically valid formula can reflect an incorrect business assumption, and an attractive table does not prove its totals are correct.
Worked example: budget versus actual
Suppose a workbook has three sheets: Budget, Actuals, Mapping.
Step 1: Prepare the file
- Convert each source into an Excel Table.
- Define consistent column names.
- Keep a separate source file.
- Add control totals for every sheet.
- Start with dummy data or an approved file.
Step 2: Define the task
Create a new Variance sheet. Join Actuals to Budget by period, cost center and account using Mapping. Show budget, actuals, monetary variance and percentage variance. Do not change the source sheets. Flag rows without mapping and do not guess a match.
Step 3: Review the plan and changes
Before accepting:
- Check which columns and formulas were used.
- Verify that source and output totals reconcile.
- Inspect several rows and calculate them manually.
- Check division by zero, missing values and currency.
- Save before-and-after versions.
Step 4: Add analysis
Only after checking the numbers, request a draft summary of the five largest variances. Require the explanation to distinguish facts in the file from hypotheses needing investigation.
Skills, Personalization and workbook rules
According to Microsoft's June 2026 updates, Copilot in Excel includes recurring Skills, working preferences and workbook-related rules. These aim to reduce repeated instructions and keep formats, names and formulas consistent.
A finance team can define a Skill for preparing a status report or cleaning a regular file. A Skill does not remove the need for checks. Version it, assign an owner and retest after changes to the template or source.
Copilot Cowork
Copilot Cowork is designed to receive a desired outcome, build a plan and work through multiple steps using Microsoft 365 sources. Microsoft describes checkpoints where users can follow progress, correct, stop and approve actions.
For finance teams, it may support briefings, combining information from emails and files or creating a document package. Availability began through Frontier and expanded gradually; check whether your administrator has enabled it and in which markets and languages.
Cowork does not justify granting blanket access to SharePoint or a mailbox. Select specific folders and sources and start with a reading task.
Legal Agent in Word: a supporting tool only
Legal Agent is an early Frontier feature in Word desktop for eligible Microsoft 365 Copilot users. It can summarize an agreement, reference clauses, compare against a playbook and create redlines with tracked changes.
For a finance team, it may assist with preliminary review of payment terms, renewals, indexation, fees and commercial commitments. It does not provide legal advice or replace a lawyer or qualified professional. Microsoft itself describes it as no substitute for a qualified professional's judgment.
A sound process:
- Define an approved playbook.
- Run it on a contract approved for use.
- Show a source for every comment.
- Have a finance professional review commercial clauses.
- Have legal counsel review decisions and wording.
Requirements, licensing and availability
Availability depends on license, platform, version, language and administrator settings:
- Editing with Copilot in Excel is available in Excel for Microsoft 365 and on the web in supported configurations.
- Switching models in the editing experience requires a commercial Microsoft 365 Copilot subscription or Microsoft 365 Premium, according to Microsoft's documentation.
- Hebrew is included among supported Excel editing languages, but output quality may vary.
- Frontier features are early access and may change.
- Legal Agent requires Microsoft 365 Copilot, Frontier enrollment and a suitable Word version.
Do not build a critical process on a preview without a fallback plan.
Risks and controls
- Keep a read-only source and versions.
- Reconcile every major total.
- Check formulas, ranges and mapping.
- Set minimum permissions for OneDrive and SharePoint.
- Require approval before sending or changing a system.
- Do not present AI analysis as an approved accounting or legal position.
- Record the prompt, Skill, version and date.
- Check organizational retention, audit and DLP policies.
- Label Frontier features as preview in process documentation.
Alternatives
- Power Query and macros for deterministic processes.
- Python or BI tools for analysis that must be reproducible.
- ChatGPT or Claude for one-off file analysis, subject to policy.
- Power Automate for workflows.
- Skills and AI agents for processes spanning tools.
For a broader comparison, see ChatGPT, Claude or Gemini for finance professionals. For scheduling, see how to schedule recurring AI tasks.
Frequently asked questions
Can Copilot edit an Excel file itself?
Yes, in the supported editing experience it can change a workbook. Users still need to review the plan, formulas, data and changes.
Can Legal Agent approve a supplier contract?
No. It can help with review, clause references and draft redlines, but does not provide legal advice or replace a qualified professional.
Do Copilot Skills replace Power Query?
Not necessarily. For a stable, deterministic process, Power Query or code may be more consistent and reproducible. A Skill is useful when interpretation, output creation or orchestration is also needed.
