A scheduled task lets an AI system run instructions at a set time or check for a change and return a result. It suits recurring briefings, monitoring and reports; setting a time does not automatically make a financial process safe and automated. A working task needs a defined information source, appropriate permissions, validity checks, an owner and an approval point before actions that change data or send information.
Who is this for?
Scheduling may suit finance teams that have already completed a task successfully by hand and want to reduce repetitive work, such as:
- A morning briefing on balances, collections or relevant events.
- A weekly reminder listing open invoices.
- Preparing a month-end close checklist.
- Monitoring changes to an exchange rate, document or website.
- Summarizing files added to an approved folder.
- Drafting a weekly report for a manager's review.
Do not begin with a task that makes a payment, posts a journal entry or sends something to a customer. Start with output for reading and approval.
How does a scheduled task work?
There are four components:
- Trigger: A time, frequency or event.
- Context: Instructions, files and connections the task can access.
- Action: Collection, analysis, file creation or drafting.
- Delivery: A notification, document, report or approval request.
There is an important difference between a fixed schedule and an event trigger. A task running every morning at 08:00 does not necessarily know that a new file has arrived. Conversely, a change-triggered task requires a connection capable of detecting the event.
Worked example: a daily collections briefing
Step 1: Define the goal
The desired result:
- Total outstanding balance as of the refresh time.
- Past-due invoices.
- The five largest customer exposures.
- Change from the previous business day.
- Exceptions needing review.
The output is an internal draft briefing only, with no messages sent to customers.
Step 2: Define the source of truth
The task needs an approved file or a read-only connection. Record:
- Source name.
- Last refresh time.
- Currency.
- Company or entity.
- Required fields.
- Expected control total.
If the source has not been updated, the task should stop and report it, rather than present old data as current.
Step 3: Write instructions with failure conditions
Example:
Every business day at 08:00, read the approved collections file. Verify that all required fields are present and the refresh date is today. Calculate the total balance and compare it with the control total. If there is a variance, missing data or a stale file, do not produce a report; send a failure alert. Otherwise create a five-point briefing, attach an exceptions table and request manager approval before any customer contact.
Step 4: Perform a shadow run
Run the task alongside the existing process for a week or one close cycle. Compare results and do not remove manual oversight until consistency has been demonstrated.
Step 5: Document ownership
Define who receives alerts, who fixes a failed connection, who approves instruction changes and when the task is reassessed.

Month-end preparation
You can schedule an action list, collect exchange rates from an approved source and check for missing files. Do not assume the system can reconcile accounts or post entries without checks, permissions and approval.
Budget-versus-actual reporting
The system can check whether the month's files exist, calculate variances according to rules and draft explanations. Preserve formulas, control totals and source references.
Monitoring external information
You can monitor new publications or changes to external sources. For regulation, exchange rates or taxes, link to the official source rather than relying solely on the model's summary.
Availability and licensing as of August 2026
ChatGPT Scheduled Tasks: OpenAI describes a dedicated Scheduled page on web, mobile and desktop. Tasks are available on certain paid plans; limits apply to active task counts and frequency, and access to connected apps depends on account and administrator settings. A task created in a project containing files cannot necessarily access those project files.
Claude Cowork: Anthropic describes scheduled tasks in Cowork for all paid plans, with rollout varying by platform and plan. Tasks can use installed tools, Skills and plugins, subject to permissions.
Codex Automations: Intended for recurring work within Codex. For local execution, the computer must be running and the application available.
Availability can change. Check your account screen and official documentation before building a process.

- Stale data: Check the timestamp before every analysis.
- Outdated permissions: Review connectors periodically.
- Silent failure: Explicitly alert when no output is produced.
- Duplicate execution: Use run IDs and idempotency for writing processes.
- Interface or model changes: Run regression checks after updates.
- External sending: Require human approval before email, messages or payments.
- Unexpected costs: Set usage limits and monitor consumption.
- Prompt injection: Do not let external content change task instructions.

- Conventional automation using Power Automate, Make, Zapier or code.
- An ERP scheduler or BI tool.
- A semi-automated process where AI drafts and an employee triggers it manually.

Frequently asked questions
Does the computer need to stay on?
It depends on the product and execution type. A cloud task can run without the computer; local automation may require both computer and application to be active.
Can a collections reminder be sent on a schedule?
It may be technically possible, but start with a draft and human approval. Verify customer details, amount, payment status and tone before sending.
What happens if the source file has not been updated?
The task should fail safely, report the stale file and avoid presenting the briefing as current.
